27:25
Is there an hour minimum requirement for disclosing?

29:26
👏🏼 Great improvement!

29:29
Since these are initiated by the employee, are the HR Liaisons notified when an approved COI form is available for download?

29:40
Where do we see the list of who is determined to be "key personnel" or is there a definition that I can refer to?

32:03
Hi Donna, the instructions on the form state that the completed, reviewed forms should be uploaded by the departmental HR rep, so employees should be providing them to their HR rep

33:44
What does NFC stand for/mean? Just it just meant it is "tappable"?

34:39
Yes, tapping capability. Also more secure than mag stripe.NFC - near-field communication

34:43
Hi Christine, unfortunately we don't have access to UFIRST so we do not have a list of Key Personnel; those employees are required to disclose per DSP. However, the definition is "Personnel considered being of primary importance to the successful conduct of a research project, such as the PI or Co-PI. The term usually applies to the senior members of the project staff; however, sponsors may have differing definitions of Key Personnel."

35:09
Thanks for NFC info

35:31
When would the new card will be start being issue

37:28
The new card will continue to work with existing Lenel security access systems in use at certain UF offices. Correct? :)

37:46
Yes.

39:38
If the employee's card has not been updated since they've moved departments (still has their old department name), will they also get a new card for free when turning in their old card or will a new card need to be authorized by current department?

39:45
Can the department authorize without paying for the card?

40:05
Will there be an employee pay option?

40:07
Will employees be able to request an overlay card?

40:08
Yes, there will be an option for self-pay

41:58
Renee, are you referring to O'Dome badge? We did not discuss that option, but I will discuss with Robin and BATS team.

42:37
Thanks Hana. To be clear, we would not want them to be able to do that and yes, it was for the o'dome badges.

42:48
Got it. Thank you!

42:48
will you continue to accept pcard payments in person for ID cards? Using predefined chartfields does not work for our needs, which is why we use pcard to costs are charged appropriately.

45:21
How are authorizers identified in the system?

45:39
We were trying to steer away from using p-cards for interdepartmental transactions to avoid paying the credit card fees. You can add as many chartfields as you need, or you can always just have a monthly charge hit your account and you create E2E to move it around as you see the need.

45:44
how long will it take from the time of request to when the cards will be ready?

46:46
Will the new cards work for building entry that is tap access? UFIT cards are printed on special cardstock currently.

47:26
Is TAPS also adjusting their entry to be compatible with the cards for gated lots?

47:45
I agree with Elizabeth. The Chartfield can change and it creates challenges for the departments who are forced to charge certain accounts.

47:49
Once a request has been submitted, a card will be processed within 2 to 3 business days. We can and will also expedite requests if need be.

48:38
I agree with Elizabeth, much like the Academic Technology orders, where we can enter Chartfields is so helpful!

48:52
That is great news, Hana!

50:08
Do we turn the old cards in to one of the Gator1 offices?

51:00
Thank you all in the G1C office for working so hard on these changes!

53:40
Thanks Verlissa for always being very helpful!!

where can we find the link for zoom?

01:00:15
Thanks, Nicole! :)

01:00:40
You're welcome Malia!

01:01:17
This is so exciting!

01:02:41
Will they post the jobs to the additional sources on our behalf or just identify places we can post?

01:03:11
Jessica, they'll post the jobs to the additional sources once you identify the strategy you'd like to use.

01:04:32
We currently post positions with a few sites that are managed by Job Elephant. How does Job Elephant partnership affect departments that already post with related sites?

01:04:40
John, can we only post the full ad, as it shows on the job board? Or can we work with our account manager to create a truncated ad that would direct folks to the job posting on the UF page? Ads can be pricey so having the ability to shorten the ad would be more cost effective

01:04:58
Will they advertise as long as the position is open or is there a time limit?

01:05:34
What about national organizations affiliated with specific fields?

01:05:58
For further clarification, my question applies only to extra ad placement, not for the standard Chronicle and Inside Higher Ed.

01:05:58
Joe, there's no impact as JobElephant will only post on Chronicle and Inside HireEd unless the department reaches out to request other sources.

01:06:27
Can you put his name up again please?

01:06:57
Yes, Thanks!

01:07:19
The Gainesville guide is wonderful. It's so rich with information. :)

01:08:13
Lorie, if you're identifying specific sources other than The Chronicle and Inside HigherEd, you will have the option to update the ad language before posting in the those additional sources.

01:08:24
Thanks, Audrey!

01:09:48
JobElephant can support ads that target national organizations affiliated with specific fields as well. Great question!

ePAF approver checklist: https://hr.ufl.edu/wp-content/uploads/2022/04/epaf-approver-checklist.docx

01:11:45
Thank you, Nerea!

01:14:35
Keisha, As long as the position is posted on our UF Careers site it will be a part of the job wrap managed by JobElephant. If you use JobElephant to identify other sources, then those source posting deadlines will apply. I hope that helps.

01:16:03
Will the HR Termination file still work the same?

01:16:40
Actual last work date/hours entered relevant because we have a lot of grant-funded OPS UF Appointments that have to 'Term' by the last date of the funding.

01:17:17
CORRECT :) and a lot of supervisors don't notify us !!

01:17:37
no worries, LOL Elizabeth 'Beth' McLaughlin

01:18:44
Wendy, We have not heard of any changes as of now. So yes it will still work the same :)

01:18:44
We have a lot of that here at UF Performing Arts. Happens all the time where supervisors don't notify.

01:18:57
LOL

01:19:13
Wendy, the termination file will remain the same, but we should not be utilizing the termination file in lieu of entering timely terminations

01:19:29
sorry Peggy!

01:19:43
Doing Great Peggy!

01:19:55
Great job Peggy!

01:21:07
I have to jump off for an 11 a.m. meeting, but you all are in great hands!

01:21:25
SSN Update portal link: https://hr.ufl.edu/manager-resources/employment-hub/employment-data/

01:21:31
what are they still receiving the message if we have submitted an updated request thru portal?

01:22:43
Maria, they should not be, if this occurs, please email us

01:23:00
Can an employee be terminated if they do not respond?

01:23:52
Will our favorites carry over or will we need to reset them?

01:24:04
Hi Wendy I can send you UF policy's on the Social Security card if you would like.

01:24:26
yes favorites will carry over

01:24:30
Welcome Crystal!

01:24:32
nothing will change

01:27:19
Can you please clarify that these are the hours remaining as of 12/31/22, where the rest of the hours will be converted in Jan?

01:28:34
Hi- it will be in the 1/19

01:28:46
thank you!

01:29:33
Peggy, The remaining of the hours will convert to sick on PPE 1/19/2023

01:29:49
Thank you!
